Use the first Toronto week to establish lawful records

Build the arrival file around the documents that actually manage work and household access. Check passports, immigration records, Toronto address records, employment papers and family documents for spelling, dates and conditions. Apply for a Social Insurance Number through the current Service Canada route and keep the submission confirmation. A temporary SIN beginning with 9 has an expiry that should correspond with the immigration document authorising work.

Service Canada says an online SIN application is processed within five business days when the requirements are met, while a postal application is processed within twenty business days from receipt. It directs applicants to contact the SIN Program after ten business days online or twenty-five business days by post if no letter has arrived. These are service standards, not a guarantee for a particular case, so keep payroll informed without inventing a number.

Create one dated exceptions list for documents, payroll, accommodation, health, banking, school and transport. Give each item an owner, records requirement and next review date. Never close an item because an application was submitted. Close it only when the resulting record has been received, checked and connected to the process that depends on it.

Connect the household to verified Ontario services

Ontario's settlement page says agencies can help newcomers find housing, employment or childcare, register children in school, access language and skills programmes, obtain information about health and social services, and find interpretation or translation. It describes these services as free and available in several languages. Check eligibility and the service offered before sharing personal records or attending.

Ontario also directs residents to 211 for community, social, health-related and government services, with the telephone service available throughout the year in more than 150 languages. For health advice and service information, the page identifies Health811 online or by telephone. Emergency care remains separate: call 911 or attend the nearest hospital for an emergency.

Store official contacts by purpose, not as an unfiltered list. Another adult should be able to find the landlord, employer, school, health route and emergency contact without entering the employee's private work systems. Review the list after every provider or address change and remove obsolete details so the household does not act on an old number during an urgent event.

Move from temporary accommodation into an Ontario tenancy

Keep temporary accommodation until the permanent unit, access date and payment route have been verified. Ontario says its residential tenancy legislation applies to most private residential rental units, including houses, apartments, condominiums and secondary units, while some accommodation is treated differently. Establish which regime covers the proposed Toronto home before relying on the standard rights described in the guidance.

Read the standard lease for the actual unit. Confirm landlord and tenant names, address, parking, term, lawful rent, payment date, included services and building rules. Ontario's guidance says a tenant entitled to the standard lease can request it in writing and that the landlord must provide it within twenty-one calendar days. The page describes specific withholding and early-termination consequences if it is not supplied, which should be checked against the household's facts before action.

At handover, photograph condition where lawful, test access and utilities, record meter positions and retain receipts for rent and permitted deposits. Keep repair requests in writing through the agreed route. A relocation agent's checklist can support the record, but it does not replace the tenancy agreement, the landlord's response or the provincial process.

Complete OHIP and banking as separate checks

An OHIP application is made in person. Ontario requires one original document from each of three categories: records of eligible status, records of Ontario residence and records of identity. Review the current lists before attending and take separate documents where the rules require them. Ontario says there is no waiting period for eligible applicants, but approval and access to a particular provider are different matters.

Where eligibility is linked to full-time work in Ontario for an employer for at least six months, preserve the qualifying employment records and record changes. Apply separately for each eligible family member. Maintain lawful temporary medical cover until the household has confirmed both the public-insurance result and practical access to the care it may need.

A pre-arrival CIBC account remains restricted until identity checks and account completion have been carried out under the bank's process. The bank describes a one-time wire from an account in the applicant's own name and says the source account should remain open until the transfer is completed. Keep overseas payment access until the Canadian account, cards, payroll credit and ordinary bills have all been tested.

Reconcile the first thirty and ninety days

At day thirty, compare the offer model with actual net pay, rent, temporary lodging, food, travel, school, health and setup spending. Match every employer payment or reimbursement to the bank credit and underlying receipt. Keep one-time arrival costs separate from recurring monthly costs, because combining them can make an otherwise ordinary month appear unaffordable or hide a continuing shortfall.

Review unresolved matters by consequence. An incorrect SIN or payroll record can affect work administration; an unconfirmed tenancy amount can affect the next payment; incomplete health arrangements can leave a household exposed. Escalate through the official or written route for that item and retain the response. Never circulate immigration, bank or clinical documents more widely than the issue requires.

At day ninety, replace arrival estimates with a normal-month household model. Archive the earlier version with its date rather than overwriting it. Confirm which temporary services can now end and which unresolved items still need a reserve, alternative provider or overseas payment route. The calculator records the household's entered case; it does not certify immigration status, entitlement or future service availability.

Keep the Toronto file usable through project change

Construction work can change location, reporting line or working hours. When it does, recheck the employment and immigration records before changing duties, then retest the home-to-site journey and any childcare or school collection. Record what changed, who authorised it and which household cost or deadline moved with it. A project instruction alone may not answer the employee's employment or immigration position.

Keep a household handover sheet that another authorised adult can use during travel or a site call-out. It should identify emergency contacts, tenancy reporting, school contacts, health routes and payment dates without disclosing passwords. Review access when a provider, landlord or employer changes. Remove relocation advisers and temporary users when their role ends.

Schedule a monthly check of permit and SIN expiries, rent, insurance, school payments and employer benefits. Use official pages and current agreements when a trigger occurs rather than treating this guide as a permanent rulebook. Preserve the records supporting an open dispute or claim, but never keep duplicate personal documents merely because they were collected during the move.

Maintain a Toronto ninety-day exceptions record

Create an exceptions table for each item that has not reached its intended result. For each unresolved Toronto setup item, record the Canadian reference, responsible body, missing document, effect on the household and next review date. Never hide an unresolved SIN, tenancy, health or payment step inside a general note that relocation is progressing.

Prioritise by consequence: lawful work administration and payroll, safe accommodation and rent, health access, school attendance and essential travel. Use the official or written route for the issue and preserve the dated response. An old instruction should not remain in the household file as if it were current.

At handover, verify that another authorised adult can locate passports, emergency information, tenancy contacts, school collection organisation, health routes and payment records. Keep passwords and confidential construction-project records outside the handover. Test access rather than assuming folder permissions work.

Remove temporary lodging, relocation advisers and old provider access when their tasks end. Cancel duplicate services after final bills reconcile. Preserve records for a continuing claim or dispute, but never leave personal documents scattered across participant inboxes.

Close the ninety-day file only after the normal monthly model, continuing calendar and exceptions register have moved into the household's ordinary records. Archive the arrival case with its date. The continuing record should show open items without retaining completed checklists as future instructions.

Prove permanent services before ending temporary arrangements

Use a live test for every replacement: Canadian bank transfer, payroll credit, tenancy access, health route, school attendance and ordinary commute. Record the result and any restriction. End temporary accommodation, overseas payment access, interim health protection or private travel only after the corresponding Toronto arrangement works and the final temporary invoice has been reconciled. Retain the completion records. Record separate records for the bank, tenancy and health result before ending the corresponding temporary arrangement. Keep the overseas payment and interim care routes active until the corresponding Canadian service has passed that test.

Toronto final check

During the first month, connect the SIN, payroll, CIBC account completion, Ontario tenancy records and OHIP application as separate checks. One may depend on another, but none proves the others are operational. Keep temporary health cover, overseas payment access and accommodation until the relevant Canadian route has been confirmed, tested and reconciled for each affected family member.

At the household handover, confirm that another authorised adult can reach emergency contacts, tenancy records, payment records and current health routes without sharing the employee's passwords. Remove relocation-only access, archive superseded estimates and move continuing rent, school, insurance and permit dates into the normal family calendar.
