Progress Records Navigator
Review whether the project file records work progress at the level needed to trace what occurred before, during and after delay or disruption. The navigator records availability and gaps. It does not decide whether any record proves delay, disruption, causation, quantum or entitlement.
Raw progress data
Check the records created close to the work activity and retained for each relevant work area.

Work-area reports
Record weather, labour, principal material deliveries, adverse site conditions, working hours, plant and activities for each principal work area.
Health, safety, environmental and security log
Retain the project log covering health, safety, environmental and security matters.
Obstruction data
Record the obstruction location, start and finish dates, daily work-front status and the affected programme activities.
Area handover evidence
Identify which contractor or other party held each work area and the period of possession.
Geological mapping
Preserve geological mapping records produced during the works.
Inspection requests and reports
Keep inspection requests together with the resulting inspection reports.
Site test records
Retain the results and supporting records for tests carried out on site.
Testing and commissioning records
Keep testing and commissioning records, including the related certificates.
Webcam footage
Preserve relevant webcam footage within the controlled progress record.
Progress photographs
Keep photographs with the date taken and, where available, the location coordinates.
Compiled progress reports
Review the reports that summarise and interpret raw progress data and programme information.

Detailed monthly progress report
Retain a detailed monthly report as the minimum periodic progress-reporting record.
Weekly overview of principal work areas
Cover progress in the principal work areas, including design and procurement or manufacture.
Weekly work-area status
Record the status of work in each area and identify the programme activities underway.
Weekly progress illustrations
Use marked drawings or other illustrations to show the physical progress achieved.
Weekly weather report
Use weather information from a reliable and relevant source, preferably based at the site.
Procurement progress records
Check the records used to show whether materials and permanent equipment were procured and delivered in time to support the Accepted Programme.

Sub-contractor and supplier quotations
Keep quotations received from sub-contractors and suppliers.
Supplier contracts
Retain supplier contracts together with every amendment.
Shipment records
Preserve the records showing when relevant goods were shipped.
Delivery records
Keep the records showing when materials and permanent equipment reached the project.

How to use this navigator
Records required before review
Obtain daily site reports, progress reports, photographic records, inspection and test files, procurement records and the current programme register. Use the executed contract to identify any extra record duties.
Review sequence
- Work through each record group.
- Mark every item as Available, Gap or Not reviewed.
- Add the controlled record reference or assigned action.
- Open Findings and transfer gaps to the project action register.
Rating rule
High applies when at least one gap is recorded. Medium applies when no gap is recorded but one or more areas remain unanswered. Low applies only when all 19 areas are recorded as available. Awaiting applies before entry.
Closing evidence
Retain the record index, file references, action owner, target date and evidence that each recorded gap was closed.
