Match each child to a Toronto school route
Start with the child's date of birth, present grade, completed curriculum, school reports, subjects, languages and any documented support needs. Ontario states that children between six and eighteen must attend school. Its newcomer guidance distinguishes publicly funded, private and home schooling, and says that most children can attend a publicly funded school without charge regardless of their own or their parents' immigration status. Confirm the position with the relevant board for the child's case.
A construction assignment can move between offices and sites, but a child's school journey happens at fixed times. Test possible homes against the actual campus, start and finish times, before-school or after-school arrangements and the route that a responsible adult can use. Record any expected project relocation separately. Never accept a school before checking whether the household can operate its ordinary week from the proposed home.
Keep immigration records beside the school file where admission, travel or a family member's status depends on them. Check each family member's document and expiry rather than treating the employee's permit as proof for the whole household. If the family route changes, obtain current guidance and written school confirmation before altering enrolment or travel plans.
Compare published 2026/27 Toronto private-school fees
The three recorded schools publish different fee structures. Branksome Hall lists 2026/27 day tuition of CAD 45,140 for junior kindergarten to Grade 10 and CAD 49,210 for Grades 11 and 12. Its boarding tuition is CAD 86,640 for Grades 7 to 10 and CAD 90,710 for Grades 11 and 12. New-student initial registration is separately listed at CAD 9,500, or CAD 6,500 where a sister is already enrolled, and is described as non-refundable.
Upper Canada College lists 2026/27 day tuition of CAD 44,940 for junior kindergarten to Year 5, CAD 46,730 for Years 6 to 10 and CAD 48,720 for Years 11 and 12. The same page lists domestic and international boarding amounts separately, with international tuition of CAD 87,580 for Years 8 to 10 and CAD 89,570 for Years 11 and 12. Its one-time new-student registration fee is CAD 10,000 for day pupils and CAD 7,500 for boarding pupils, stated to be non-refundable.
The York School family handbook lists total fees of CAD 45,065 for junior kindergarten to Grade 12 in 2026/27. It shows three instalments: CAD 7,500 due on 30 January 2026, CAD 22,565 due on 30 April 2026 and CAD 15,000 due on 31 August 2026. These published figures are dated examples for comparing the calculator structure. Recheck the accepted school's current invoice and terms before any payment.
Record the costs outside tuition
Tuition alone is not the school budget. Branksome Hall publishes grade-specific examples for activity fees, field trips, athletics travel, uniforms, books, technology, music, optional international programmes and boarding items. Its page lists ranges rather than one universal total. Select only items that apply to the child's grade and expected activities, and preserve the source date beside every amount entered.
Upper Canada College directs families to incidental and boarding considerations in addition to tuition. The York School says its account statements may include parents' association membership, cafeteria charges, supplies, cultural activities and sport. Treat each later statement as a new liability to reconcile. Never assume that a tuition allowance covers an incidental item unless the employer's education policy says so.
For every child, keep separate lines for application, registration, tuition, transport, meals, uniform, technology, trips, activities, insurance and support. Record whether each amount is compulsory, optional, refundable or contingent. A zero should mean that the school or employer confirmed no cost. If the position has not been checked, leave the entry blank rather than using another family's figure.
Reconcile the employer education benefit
Read the employment package for the education cap, eligible ages, number of children, permitted schools, covered fee types, tax treatment stated by the employer and payment method. Ask whether the employer pays the school or reimburses the employee. Where the employee pays first, the household model must carry the cash outflow until the reimbursement is received and matched.
Compare the employer's benefit year with the school's academic and payment years. A calendar-year cap may not follow a 2026/27 invoice schedule. Record foreign-exchange exposure only where a non-Canadian account will fund the payment, using the actual bank quotation and charges at the relevant date. Never convert the school's Canadian-dollar amount into a claimed entitlement without the employer's written method.
The calculator should show gross school outflow, confirmed employer contribution and the remaining household cost as separate results. Run a case for the first Toronto school year and another for a continuing year because one-time registration charges can change the result. Save the assumptions beside the offer comparison so the education benefit is not counted twice.
Manage payment method, timing and records
The York School publishes electronic payment routes, including adding the school as a bank payee and using the final five digits of the child's student account. It also states that families may contact finance for wire details and remain responsible for transfer charges. Obtain instructions through the school's current channel and verify the beneficiary before releasing funds. Never rely on bank details copied from an old message.
The York School also describes a ten-month direct-debit option for its April and August instalments and says that a service charge applies. Credit-card payments through its stated provider can take three to five business days and attract a 2.99 per cent fee. Model these charges only when that route will be used. The fee and processing period must be rechecked on the transaction date.
For every payment, retain the accepted place, invoice, beneficiary check, bank confirmation, school receipt and employer claim. Match the child's account number and fee category before posting the cost to the household ledger. If the school statement and bank debit disagree, keep the item open until the school or bank has answered in writing.
Plan for withdrawal and a changed assignment
A project transfer or early return does not automatically cancel the school contract. The York School's 2026/27 handbook says that after 30 January 2026 there is no refund of the first CAD 7,500 instalment, that from 1 May to 30 June one half of the second instalment is refunded, and that after 31 August there is no tuition refund. It also states that parents or guardians remain liable for fees where a pupil withdraws or is absent. Read the accepted school's own current terms because another school may differ.
Before accepting the place, model an on-time start, a delayed arrival and an early departure. Record the exact notice route, date received, continuing liability, possible refund and any tuition-refund insurance. Never call a payment recoverable until the contract or a written school decision confirms it. Keep the employer's treatment of a non-refundable school cost as a separate unresolved question.
At transfer, collect reports, curriculum records, examination information and any agreed support documents through the school's process. Reconcile tuition, incidentals, transport and employer reimbursement before closing the account. Retain only the records needed for the next school, tax or written issue, and remove access that the household no longer requires.
Maintain the Toronto pupil and school-account record
Create one register per child showing accepted grade, campus, start date, tuition schedule, additional charges, employer allowance and payment route. Never scale one child's amount or timetable to a sibling in another grade or school. Preserve the dated fee material used for the decision.
Before paying a Toronto school instalment, reconcile the current statement with the accepted fee schedule, previous payments and employer support record. Verify the pupil account and payee. Match an employer education claim to the exact invoice and keep it open until the bank credit arrives.
Keep the calendar, activities, travel, collection organisation and important assessment dates in the family record. Recheck the home-to-school route after a project or timetable change. An employer travel arrangement does not replace the school's attendance and collection process.
Review curriculum fit, reports and agreed support after the first term using the school's actual records. Keep educational decisions with the family and school rather than treating the cost calculator as a recommendation. The arithmetic cannot judge admission, educational quality or pupil suitability.
Before renewal or re-enrolment, obtain the next fee schedule and withdrawal terms. Never carry a 2026/27 amount or employer cap forward automatically. Archive the earlier year so fee changes, new one-time costs and revised support remain visible.
Reconcile the accepted place before attendance
Before the first day, confirm campus, grade, start date, timetable, uniform, device, meals, activities, transport and authorised collection. Match every required payment to the accepted-place record. Keep any boarding, international-student or additional fee supplied after enquiry with the pupil's dated account.
Check the route from the actual home at opening and collection times, including a fallback another adult can operate. Never assume the employee's project pattern remains fixed throughout the school year. Reopen transport, childcare and employer support when the workplace, timetable or family arrangement changes. Preserve the revised school-week plan and its date. Record each school's stated payment date beside the employer reimbursement date before accepting a place.
