Start the Singapore departure register before booking flights
List employment end, pass actions, family passes, tenancy, school, services, insurance, banking, tax advice and travel. Give each item an owner, records and dependency. Ask the employer for the current cancellation and departure sequence for the actual pass. Never book an inflexible date from an assumed notice or pass timeline.
Keep employee and family rows separate. Record last working date, pass status and who will initiate each action. A submitted cancellation is not the same as a completed government record. Preserve employer and official confirmations and obtain advice where residence, tax or official questions affect the sequence.
Reconcile employment money before access ends
Obtain an itemised employer statement for salary, approved expenses, unused leave, allowances, deductions and any stated final payment. Compare it with contract, payslips and bank credits. This page does not calculate final entitlement or tax clearance. Obtain suitable advice for the actual employee where an amount or withholding is disputed.
Record payment date and receiving account. Keep bank and mobile authentication active until each credit is reconciled. A final payslip is not proof of payment, and a bank total is not proof each component is right. Raise differences before employer email and internal-system access close and retain the response.
End the tenancy and prove lease-duty records
Read notice, diplomatic clause, renewal and handback terms before serving notice. Keep the Stamp Certificate and signed agreement. Never assume Employment Pass cancellation automatically ends rent. If a clause or date is disputed, obtain suitable advice before an irreversible action or withheld payment.
Repeat the inventory and photographs, record meters and return every key, card and remote against acknowledgement. Track deposit, deduction and final rent separately. Housing does not close at physical departure. The file must show written end, possession return, service closure and money outcome as separate events.
Close utilities, subscriptions and communications deliberately
List electricity, water, gas where used, internet, mobile, air-conditioning service, building account, subscriptions and recurring payments. Ask each provider for its current closure or transfer route. Record readings, requests, bills, refunds and confirmations. Never cancel the mobile while it remains necessary for banking or another official service.
Keep sufficient funds for late bills without leaving open debit authorities. Download histories and cancel recurring instructions after the obligation is known. A service that stops is not necessarily a closed account, and a zero current balance may exclude a final reading, equipment return or termination charge.
Complete school, health and family records
Give school notice under its current terms and obtain reports, transfer and fee records. Reconcile tuition, transport, deposits and employer support. Keep each child's withdrawal records. Never assume a refund or final report follows automatically after attendance ends or the main pass is cancelled.
Confirm the health-policy end for every person, close claims and obtain lawful medical records and prescriptions. Arrange destination cover without describing it as continuous until confirmed. Track family-pass action separately from the employee. Preserve privacy and never place detailed clinical records in an employer departure tracker.
Keep the bank open only for a documented purpose
Track final salary, expense, tenancy deposit, school refund, utility refund, insurance claim and card reversal. Identify the receiving account and expected date for each. Archive personal records without taking project files
Keep personal copies of contract, pass and cancellation records, payslips, final statement, tenancy, Stamp Certificate, service closures, school, insurance, bank statements and major receipts. Record source and date and test access from the destination. Never rely on an employer mailbox that will close.
Never copy claims files, programmes, valuations, reports or client correspondence into the archive. Ask what lawful employment records may be retained. The personal file should prove the employee's contract, money, residence and household closure without taking information belonging to employer, client or project.
Run a post-departure records check
Within the first month, confirm final pay, pass records, bank status, deposit outcomes and cancelled services. Check that no rent, school or subscription debit continues. Never interpret silence as closure. Use the official provider or employer route and record the reply.
Review archive security and retain records for the period advised for the individual's circumstances. Delete unnecessary copies when no longer needed. A checklist box means its records are stored; it does not prove an unrelated refund or legal conclusion. Keep open items visible until separately resolved.
Assign a records owner to every departure stream
Assign employment and pass actions to the employee and named employer contact, housing to the tenant, family records to the responsible parent and banking to the account holder. Record who issues and who verifies final records. Never let one relocation contact report every stream complete without documents.
Review the register twice weekly in the final month and log changes to the sequence. Escalate dates that block travel, handback or money. A factual chronology supports later questions after employer email, mobile or local access has ended and avoids treating a promise as completion.
Protect identity and communications through the final day
List services relying on the Singapore mobile, Singpass where used, digital pass or employer email. Complete authentication and download records before closing access. Keep devices and recovery details clear. Never give a one-time code to a colleague who offers to finish banking or government tasks later.
Update destination contact details through official channels. End the mobile deliberately after bank, insurer and provider tasks finish. Record the final access test and preserve emergency documents in approved backup. The communications plan should not end when a prepaid line unexpectedly expires.
Reconcile every deposit and refund separately
Create rows for housing, school, utility, insurance and card refunds. Record holder, amount, supporting document, claim date, expected route and receipt. Never net unrelated sums or mark a refund paid from an email promise. Match each bank credit to its source.
Where an amount differs, request the itemised calculation and preserve condition, fee or provider records. Keep the account open only under current bank conditions and for a stated reason. Place each unresolved Singapore balance or document in the post-departure register with its official contact route, owner and next review date.
Record what the departure calculator excludes
The calculator compares entered expected receipts with close-out costs. It does not calculate final entitlement, tax clearance, pass status or the likelihood of a refund. Count money as confirmed only from a supported amount and keep it outside accessible cash until credited.
Run the case before flights, before handback and after departure. Preserve changes and reasons. A positive result cannot close an unresolved pass or tenancy action, and a checked task cannot prove another party paid. Each workstream needs its own final records.
Retain a dated final chronology
Place employment end, pass action, handback, service closure, final payment, account step and travel in date order. Link each to records and show open refund dates. Never turn the chronology into a legal conclusion; use it to preserve verified events.
Test archive access after reaching the destination and ensure another authorised adult can open emergency records. Repair broken access without transferring confidential employer or client information into the personal archive. Record the test and remaining open items.
Complete the final check after the Singapore move
Within thirty days of departure, confirm final salary and expenses, pass records, bank status, tenancy deposit, school balance and service closures. Match every receipt and refund to its source. Check that no recurring rent, transport or subscription debit continues. Silence from a provider does not prove that its account is closed.

Keep the unresolved-items register active
For each unpaid refund or disputed balance, record amount, records, contact, last response and next date. Never merge it into a general departure note or treat expected money as received.
Close the row only after the bank credit or supported final decision. Preserve the chronology so another authorised adult can continue the matter without local employer or mobile access.
Confirm the last supported Singapore event
Identify the last dated official or provider confirmation in the departure file and make sure all later events are either recorded or remain open.
Never replace a missing record with a recollection after travel.
