Leaving Dubai: visa cancellation, final bills and records

Final pay, deposits and records can arrive after company systems, the UAE mobile number or the tenancy have closed.

Start the departure file before giving access back

Final pay, deposits and records can arrive after company systems, the UAE mobile number or the tenancy have closed.

Eight to twelve weeks. Read notice, tenancy, school and provider cancellation terms; list every deposit and final payment.

Four to eight weeks. Agree the last working day, leave, handover, residence sequence and dependant position.

Two to four weeks. Serve provider notices, arrange property inspection, sell or transfer vehicle and preserve personal records.

Final week. Return property against receipts, obtain final bills and cancellation records, keep banking and contact access.

After departure. Monitor final salary, gratuity, refunds, card charges and tax or pension records in the destination country.

Reconcile the employment account

Never reduce the close-out to a single final salary number.

Item: Last working date; records to obtain: Written confirmation and notice calculation.

Item: Salary and allowances; records to obtain: Payroll statement through the final date.

Item: Annual leave; records to obtain: Balance and payment basis for unused entitlement.

Item: Expenses and reimbursements; records to obtain: Approved claims and expected payment date.

Item: End-of-service gratuity; records to obtain: Service period, last basic salary and calculation.

Item: Deductions; records to obtain: Itemised basis and supporting agreement or record.

Item: Company property; records to obtain: Signed return receipt for laptop, cards, vehicle and documents.

Item: Employment certificate; records to obtain: Service dates, role and any agreed reference.

Item: Final payment; records to obtain: Expected account and date; UAE law requires outstanding wages and end-of-service amounts within 14 days after contract termination.

Coordinate work-permit and residence cancellation

The sponsor normally checks the residence cancellation, but the worker should keep copies and plan dependants and travel around the sequence.

For a private-sector employee, the residence cancellation service requires the Ministry work-permit cancellation extract. Ask the employer for the proposed date, documents to be signed and copies of the completed records. Check the effect on sponsored family members before the employee's residence is cancelled.

GDRFA's current service page states a 60-day grace period after residence cancellation or expiry. Never use the full period as a casual planning assumption. Check the issued cancellation record and the position of every family member, vehicle, bank and planned journey.

Close the home and services with records

Keys alone cannot close the tenancy, utility account or deposit claim.

Checklist: Non-renewal or early-termination notice served under the contract; Move-out inspection booked and condition recorded; Landlord or agent organisation checked for handover; Keys, cards, remotes and parking items returned against receipt; Ejari cancellation or closure process checked; DEWA move-out date submitted and final bill obtained; Cooling, internet and gas closed separately; Deposit deductions itemised and disputed promptly if unsupported; School withdrawal, records and fee account closed; Mail, deliveries and building access redirected or cancelled.

Keep banking open until the last money moves

Final salary, gratuity, utility refunds and tenancy deposits may not arrive together.

Ask the bank how employment ending affects the account, cards and any salary-linked loan. Stop unnecessary recurring payments, settle card balances and download statements. Keep a UAE number or approved authentication method working until the account can be operated from abroad.

Never close the only usable UAE account before final salary, gratuity, DEWA security deposit, tenancy deposit and other refunds have cleared. When ready, use the bank's formal closure process and obtain written confirmation that the account and cards are closed with no balance due.

Separate personal records from project information

Keep what proves employment and payment, but never copy confidential employer or client material.

Retain the offer, contract, work-permit and residence records, payslips, leave and gratuity calculation, employment certificate, insurance records, tenancy, Ejari, final bills, bank statements and receipts. Store them on personal systems with secure backup.

Construction professionals often have access to claims files, programmes, correspondence and commercial records. Ownership and confidentiality continue beyond convenience. Return project records as instructed and obtain a handover acknowledgement. Keep only material you are entitled or required to retain.

Track money and documents after departure

The final flight does not end the close-out if refunds, certificates or disputed amounts remain open.

Create a post-departure register showing each amount expected, responsible organisation, reference, promised date and escalation route. Include final salary, gratuity, approved expenses, tenancy deposit, DEWA deposit, cooling deposit, school balance, vehicle proceeds and any bank closure balance. Save records of the account nominated for each payment and notify the payer if that account changes.

Keep a lawful contact method in the UAE until the list is closed. Download statements and service confirmations as they arrive. If a payment or cancellation is disputed, keep the chronology, signed document, invoice, receipt and correspondence together rather than trying to reconstruct it months later from an inaccessible company mailbox.

Dubai departure records to close

A departure is complete only when employment records, residence cancellation, housing handback, utilities, bank access and final payments have all been reconciled. Build a closing register at least one month before the proposed travel date. The register should list every employer record, final salary item, end-of-service amount, visa or residence action, tenancy notice, utility account, deposit, card subscription and expected reimbursement. Record the person responsible, the records required and the date on which each item is actually closed.

Start with the employer process and keep a copy of the cancellation or close-out records that the employee is entitled to hold. Return laptops, telephones, project passes, keys, access cards, vehicles and documents against an itemised receipt. Never copy client, employer or project material into a personal archive. For the home file, keep the notice, handback photographs, meter readings, key return, Ejari position, DEWA move-out records and any deposit correspondence together. A signed key handover does not prove that every service, deposit and final account has closed.

Keep bank, email and telephone authentication working until final salary, end-of-service amounts, refunds and reimbursements are credited and checked. Never sign an unexplained final settlement figure, close the local account before all credits clear, assume that returning keys closes utilities or leave subscription contracts attached to a card that will no longer be monitored. The last working week should confirm what remains open, what records has been received and what access must stay live after travel.

Start from the employment and residence sequence

Obtain the current employment and residence cancellation sequence from the responsible organisations and the employer handling the case. Record who submits each step, which documents are required, the application reference and the completion document. Never treat a verbal last working day as proof that the employment, residence and dependant records have all been dealt with. Keep copies outside the employer mailbox before access ends. Where family members depend on the employee's status, map their steps and travel dates against the principal file.

The departure plan should distinguish notice period, last attendance, payroll close, employment formalities, residence formalities and the date by which each person must act. Ask how unused leave, expenses, deductions and final amounts will be shown. Preserve the signed employment records and any acknowledgement before signing a settlement or cancellation document. If a figure or statement is disputed, record the precise point and seek the appropriate advice rather than altering or withholding an official process without understanding the consequence.

Close housing with records from both ends

Read the tenancy notice, renewal and handback provisions before fixing travel. Give notice through the required route and keep proof of delivery. Agree an inspection process, repair responsibility, key return and the records needed for deposit repayment. Repeat the dated condition photographs taken at move-in and pair them with the original schedule. Record meter readings, access cards, parking checks and any furniture. Obtain a signed handover acknowledgement that identifies the unit and date rather than relying on an informal message.

Use the official utility move-out service and preserve its reference, final bill and closure records. Keep the bank account and contact route usable until valid housing and utility refunds are received or another lawful collection method is documented. List each expected refund with amount, payer, due date and follow-up owner. The calculator subtracts confirmed departure costs from confirmed money due to the household, but its result is not a promise of cash on the travel date. Timing and dispute exposure remain visible in the close-out schedule.

Reconcile final pay and employee property

Prepare an employee reconciliation before system access closes. List salary to the final date, approved expenses, outstanding reimbursements, leave treatment, written benefits, lawful deductions and any other amount shown by the employer. Match each line to a document and then to the final credit. Leave a blank where the source does not establish the amount. Never insert an estimate into a settlement record as though it had been agreed. Keep payslips, approvals, time records and payment records in a personal file where permitted.

Return employer property against an itemised receipt. Include laptop, telephone, cards, passes, keys, vehicle, documents, protective equipment and any project material assigned to the employee. Preserve only personal records and material the employee is entitled to retain. Never copy confidential employer, client or project information into the departure archive. Ask for a separate record confirming the property return and account closure, because an unrecorded handover can later be confused with an outstanding asset or deduction.

Sequence banking, subscriptions and contact access

List every direct debit, card subscription, finance payment, rent instrument, salary credit, refund and reimbursement linked to the local account. Cancel or transfer each service through its proper route and retain confirmation. Ask the bank what changes when salary and residence status end, what documents are required and when closure can occur. Never empty or close the account while a valid final payment, refund or charge remains unresolved. Equally, never leave an unmanaged account with recurring charges and an inaccessible local telephone number.

Preserve statements covering the full relocation and departure period, plus the bank's closure confirmation. Move account-recovery details away from the employer telephone and email before they are withdrawn. Close telephone, internet, insurance, transport and membership services against their own notice terms. A cancelled payment card does not necessarily cancel the underlying contract. The close-out list should therefore show the supplier's confirmation, final charge and date on which access or liability ends.

Close school, health and family records

Give the school the required notice and obtain the child's reports, transfer documents, fee statement and any deposit or credit record. Confirm how long the family can access the school portal after withdrawal. Keep learning-support and medical records needed by the next school. Reconcile the final invoice and retain proof of payment. If the move occurs during a term, record the final attendance date separately from the fee or notice position.

Ask when each family member's health cover ends and how ongoing treatment, prescriptions, approvals and claims will be handled. Obtain copies of material clinical records through the proper route. Keep a lawful medicine supply and the supporting documents needed for travel. Never assume that employment end, residence cancellation and insurance termination occur on the same day. The family plan should state each date from its source and arrange replacement cover where a gap would otherwise arise.

Use a final records and receivables register

Create a final register with one row for every closure, amount due, amount payable, responsible person, source document, target date and completion proof. Include employment, residence, dependants, housing, utilities, school, insurance, banking, telephone, shipment and employer property. A service is closed only when the stated records has been received. Colour or status labels can help, but they must not replace the reference or document. Keep the register and attachments in a secure location that remains accessible after departure.

Run the calculator only with confirmed amounts. Enter final salary or approved benefits, deposits and other receivables separately from flights, temporary accommodation, shipment, closure charges and other departure costs. Keep disputed or uncertain sums outside the confirmed total and describe them in the register. Review the file after travel until every valid refund and final document has arrived. The move is not administratively finished merely because the household has left Dubai; unresolved accounts and missing records still need an owner and a dated follow-up.
