Create a shortlist across at least two areas. Ask each admissions team about availability for the exact year group, assessment, waiting list, application fee, deposit, refund terms and the date by which records must be supplied. An enquiry form is not a place. Obtain written confirmation before signing a tenancy around one school.

Calculate the full school year

Tuition is the starting figure; transport, uniform, devices, trips and support can change the family budget.

Download the KHDA School Fees Fact Sheet for the academic year and year group. It separates tuition, required supplies and optional services. Build three totals: unavoidable cost, likely family choices and a contingency. Confirm what is refundable if the place is not taken and how deposits are offset against tuition.

If the employer pays an education allowance, ask whether it covers tuition only, which children qualify, the annual cap, the service period, payment dates and the records required. A reimbursement may arrive after the family has paid the deposit or first term. Keep the invoice, payment proof and fee fact sheet used for the claim.

Prepare the admissions file before leaving home

Missing or incorrectly prepared records can delay assessment, year placement and registration.

Checklist: Child and parent passports; Residence visa and Emirates ID records when available; Birth certificate; Recent school reports and transcript; Transfer or leaving certificate in the form requested; Vaccination and medical records; Special educational needs reports and support plans; Custody or consent papers where relevant; Passport photographs and contact details; Attestation or legalisation requirements confirmed with the school and KHDA guidance. Match every stated school fact to the named campus, year group and fee schedule before making the comparison.

Use the visit to test the child's ordinary day

Inspection ratings and facilities matter, but so do teaching fit, support, travel and communication.

Ask how the school teaches the chosen curriculum, places new arrivals, supports English as an additional language and handles additional learning needs. Review class size, assessment, homework, pastoral care, wellbeing, behaviour, safeguarding, university guidance and communication with parents. Ask for the latest inspection summary and understand the date to which its rating relates.

Travel from likely homes during the school run. Confirm bus routes, journey time, supervision, start and finish times, Ramadan hours, after-school care and activities. For two children, test whether both calendars, campuses and collection times can work with the parents' jobs.

Dubai school admission and fee checks

A school decision should be supported by a confirmed place, a fee sheet and a workable family timetable.

Required actions: Compare the exact year group's current KHDA fee fact sheet. Ask what the deposit secures and when it can be refunded. Disclose support needs and ask how provision is resourced. Test the school journey before choosing the home.

Avoid these errors: Never compare schools by tuition alone. Never assume a waiting-list entry is an offer. Never sign a nearby tenancy before the place is confirmed. Never rely on an old inspection rating or fee screenshot.

Confirm the year group and admissions status

Begin with the child's current curriculum, date of birth and completed school year. Use the KHDA directory filters to identify the grade or year offered by each school, then ask the admissions team to confirm the correct entry point in writing. Never assume that a year number transfers directly between curricula. Supply the latest reports and any assessment or support information requested, but keep copies of everything submitted. The admissions record should distinguish an enquiry, application, assessment invitation, waiting-list entry, conditional offer and confirmed place. Only the final stage supports a housing or travel commitment, and even then the family should understand any remaining condition and the date by which it must be satisfied.

Ask for the admissions timetable for the exact year group. Record application charge, assessment charge, registration payment, seat deposit, medical forms, transfer certificate, identity records and the date at which each item becomes due. Where a payment is described as refundable, read the conditions and notice period. Where it is non-refundable, treat it as money at exposure until the place and move are certain. A family applying to more than one school should keep separate records because forms, grade labels, deadlines and refund terms can differ. The planning folder should show who applied, the reference, the reply date, the next action and the amount already paid.

Compare the full published fee sheet

Use the current KHDA fee fact sheet for the named school and exact year group. Tuition is only the first line. Record books, uniform, device, transport, meals, activities, trips, assessment, registration and any capital or resource charge shown by the school. Identify which items are compulsory and which depend on the child's subjects or choices. If the school quotes a range, budget the upper figure until the exact requirement is confirmed. Never transfer a fee from another year group or academic year. Store the fact sheet used for the comparison because the page can change when a new fee cycle is published.

Employer support must be read against the same fee categories. Ask whether the allowance covers tuition only or also registration, transport, books, device and activities. Confirm the annual cap per child, eligible ages, payment route, required invoice and reimbursement date. A generous annual cap may still leave the family funding the first payment if reimbursement follows proof of payment. The school comparison tool therefore deducts confirmed employer support after adding the annual costs for each option. It does not add an allowance to the school bill, and it does not treat an uncertain benefit as cash available on the due date.

Test the school run before choosing a home

Map the school, office, active project and likely future sites before selecting a tenancy. Ask the school for bus areas, pick-up windows, journey length, supervision arrangements and current charge for the exact address. If a parent will drive, test the route at drop-off and collection time and allow for security, parking and queueing. A home that appears close on a map may sit on the wrong side of a busy corridor or require a long turn. The school run should be tested alongside the working day because one adult may leave for a site before the bus or school gate opens.

Create two timetables for each shortlisted school: the ordinary week and the disruption week. The ordinary timetable covers work start, school drop-off, collection, clubs and homework. The disruption timetable covers an early site meeting, late claims submission, sick child, bus cancellation or a school closure. Record who can collect the child and which contacts are authorised. Add the monthly transport cost to the school comparison even where the school quotes tuition annually. Housing, school and transport are one household decision. A lower-fee school can become the more expensive choice if it forces a second car, long daily taxi use or a higher-rent district.

Check learning support, records and withdrawal terms

Disclose learning, language, medical and access needs during the application rather than after the child starts. Ask what assessment is required, what support the school can provide, whether extra support carries a charge and how the plan is recorded. Obtain the answer for the actual campus and year group. Keep prior reports, individual plans, vaccination records and specialist letters in a family file that can be shared securely. A school name alone does not establish that a particular support need can be met, and an offer may remain conditional until the school has reviewed the records.

Read withdrawal, notice and refund rules before accepting. Record the notice date for the next term, the treatment of a seat deposit and what happens if the family's visa, employment or travel date changes. Ask how reports and transfer records will be released if the child leaves during the year. Keep every invoice, receipt and admissions reply outside an employer mailbox. The family should be able to prove the place, amounts paid, fee basis and withdrawal position without relying on one staff contact. This record becomes part of the departure file and should be updated whenever the school publishes a new fee schedule or the employer changes its education benefit.

Build a term-by-term family payment calendar

Translate the published annual fee and compulsory items into the school's actual due dates. Add application, assessment, registration, deposit, tuition instalments, books, uniform, device and transport under the term in which payment is required. Record optional activities separately until chosen. The calculator compares annual options, but the payment calendar checks cash. A family can afford the annual total and still miss an early instalment if the employer reimbursement or first salary arrives later.

Reconcile every invoice with the fee sheet for the named child and year group. Keep discounts, sibling treatment and employer payment arrangements in writing, including any condition that can reverse them. At each term end, update the next due date and expected support. If the child changes year group or the school publishes a new fact sheet, replace the prior figures rather than carrying an old total forward.
