Use the child's actual year, entry date and accepted Sydney school. The three school sources checked for this page publish different enrolment, fee and billing information, so one school's figure cannot be transferred to another. Record tuition, entry payments, compulsory extras, transport, notice and refund terms separately. Where overseas-student treatment is supplied only on enquiry, obtain the written schedule before entering an amount. Match the school calendar to arrival, temporary housing and the employee's work route without treating an application as an offered place.

Build the Sydney shortlist around the child

Record the child's date of birth, current year, curriculum, subjects, reports, languages, examination pathway and documented support needs. Match those facts to the school's published age and entry route. Never infer that a similar year label means identical curriculum or progression.

International Grammar School publishes fee material from preschool to Year 12. Sydney Grammar's cited page covers its preparatory classes. SCEGGS describes itself as a non-selective Anglican girls' school from kindergarten to Year 12 and offers boarding from Year 7 to Year 12. Use each source only for the school and pupil group it addresses.

Ask admissions about the actual entry date, assessment, available place, required documents and timing. An online application, tour or fee payment is not an offer unless the school confirms it. Preserve every condition attached to the place before planning family travel or ending the present school.

Read the dated fee schedule for the exact year

International Grammar School links separate 2026 schedules for early learning and for kindergarten to Year 12. Its page says those documents cover annual tuition, application and confirmation charges, sibling discounts, optional extras, payment plans and due dates. Obtain the relevant schedule and enter only the child's year-specific charges.

Sydney Grammar's Edgecliff page lists 2026 annual tuition of AUD 36,825 for preschool and kindergarten, AUD 41,871 for Years 1 and 2, AUD 43,887 for Years 3 and 4, and AUD 46,194 for Years 5 and 6. It divides those amounts into three equal instalments at the start of Terms I, II and III, with due dates stated for the last Friday in February, May and August.

SCEGGS states that tuition is divided across five billings once a pupil starts. The enrolment page directs families to its schedule of fees for the detail. Never invent an annual SCEGGS amount from the billing count. Obtain the current schedule and accepted-place terms before entering an amount.

Capture one-time and additional school costs

Create separate lines for application, entrance or confirmation, tuition, technology, activities, books, uniform, meals, transport, trips, examinations and support. Mark each as compulsory, optional, refundable or contingent. A single extras allowance hides both the payment date and the chance that the employer excludes the item.

Sydney Grammar's page states an entrance fee of AUD 8,735 after admission is confirmed for its named schools, unless the pupil is a scholar, with pro-rating for a partial scholarship. It also refers to a suggested voluntary building-fund donation on statements. Keep a voluntary amount outside compulsory fees and verify the accepted pupil's invoice.

International Grammar School says overseas-student fees and other charges are available on request. Obtain that written schedule where the child is treated as an overseas student rather than applying the domestic schedule. Record who supplied the figures and the period for which they apply.

Match the employer education benefit

Read the assignment policy for eligible children, age or year limits, annual cap, covered schools, excluded fees, payment method, records and benefit year. Ask whether the employer pays the school or reimburses the employee. Where the household pays first, keep the full outflow in the cash model until reimbursement is received.

Compare the employer benefit year with the school's instalment calendar. A calendar-year cap may not fit the academic billing sequence. Record pro-rating on arrival and departure, waiting periods and treatment of a child who changes school. Never carry an unused allowance into the next year unless the policy permits it.

Keep school and employer accounts separate. Match each invoice, bank debit, receipt and claim. A payroll description such as 'education allowance' does not prove that the school invoice was accepted or that all one-time charges qualify.

Test the school journey with site work

Plot drop-off, collection, after-school activities and the employee's office or site hours from each proposed home. Test the exact modes and walking at the relevant times. Keep a second arrangement for early starts, late work and project travel, including the person authorised to collect the child.

Transport for NSW says adult fares may be paid using an Opal card or contactless card or device and that an adult must tap off to avoid a default fare. School-student and concession treatment is separate. Confirm the child's eligibility and travel product instead of applying the adult calculator to every family member.

Add school bus, public transport, private travel and parking only where the household will use them. Preserve current quotations and route checks. A school place that cannot be operated alongside the employee's working pattern is not solved by a nominal education allowance.

Manage payment, statements and late charges

Sydney Grammar lists BPAY and card routes and says a cost-recovery fee applies to specified card payments. It does not accept cash. Use the current school instructions and verify the pupil account and payee before paying. Record any transaction charge as a separate household cost.

The Sydney Grammar page states that overdue accounts attract an administration charge of AUD 100 per month and that a pupil may not continue where fees remain unpaid unless the stated permission is given. Keep due dates in the family calendar and submit employer claims early enough to avoid treating a delayed reimbursement as an excuse to miss the school deadline.

Download or retain each statement, payment confirmation and receipt. Reconcile additional charges when issued. If a charge is disputed, preserve the school response and keep the amount open rather than deleting it from the annual model.

Read withdrawal and absence terms before acceptance

Sydney Grammar requires one full term's written notice before removal on the cited 2026 page. Where adequate notice is not given, it states that an additional fee equal to one quarter of annual tuition is charged. It also describes fee treatment for temporary withdrawal. Apply those terms only to the school and pupil covered by the accepted contract.

Obtain the current withdrawal, refund and notice terms from any other accepted school. Record the notice recipient, delivery route, latest date and continuing liability. A project transfer or visa change does not automatically cancel the school agreement or create a refund.

Before accepting, run delayed-arrival and early-departure cases. Keep possible refunds outside available cash until the school confirms and pays them. Ask the employer whether a non-refundable fee caused by assignment change is covered, but never present an unconfirmed recovery as part of the school budget.

Use the school calculator child by child

Enter annual tuition for the child's exact year and stated school, then add one-time fees and expected extras separately. Deduct only confirmed employer support for that child and benefit period. Run a first-year case and a continuing-year case because entrance and setup charges change the result.

For two schools, preserve the same child, start date and employer benefit while changing the school-specific figures. Never compare one school's domestic schedule with another school's overseas-student amount without labelling the difference. Use blank fields where the school supplies a charge only after enquiry.

The result is a planning comparison, not an admission decision, invoice or refund calculation. Recheck the accepted place and current schedule before paying. Archive the case used for the decision and reconcile it with the first school statement.

Maintain the pupil record through the school year

Create a pupil account register showing the accepted year, campus, start date, tuition schedule, additional charges, employer allowance and payment route. Keep one register per child. Never scale one pupil's amount or timetable to a sibling in a different year or school.

Before each instalment, compare the school statement with the accepted schedule and prior payments. Verify the pupil account and payee. Record an employer claim against the exact invoice and keep it open until the bank credit arrives. Investigate an unrecognised charge through the school's stated accounts route.

Keep term dates, activities, travel, collection organisation and important admissions or examination dates in the family calendar. Recheck the work and school route after a site or timetable change. An employer's travel arrangement does not replace the school's collection and attendance procedures.

Review reports, support and curriculum fit after the first term using the school's actual records. Keep educational decisions with the family and school rather than treating the cost comparison as a recommendation. The calculator can compare entered fees but cannot judge admission, educational quality or pupil suitability.

Before renewal or re-enrolment, obtain the next dated fee schedule and notice terms. Never carry a 2026 amount or employer cap forward automatically. Archive the earlier year so increases, new one-time costs and changed support remain visible.

Reconcile the accepted place before the first day

Before the first day, confirm campus, pupil year, start date, timetable, uniform, device, meals, activities, transport and authorised collection. Match every required payment to the accepted-place record. Keep any overseas-student treatment or additional fee supplied on enquiry with the pupil's dated account.

Review the school route from the actual home at opening and collection times. Record a fallback that another authorised adult can operate. Never assume the employer's office or project pattern will remain fixed throughout the school year; reopen the route and childcare plan when it changes. Preserve the final confirmed start and route record.
