Check whether the CIBC pre-arrival route fits the applicant
Read the current CIBC eligibility conditions before applying. The recorded route covers specified newcomer categories and requires current immigration records. It also limits the pre-arrival account's access and use. Never describe it as an ordinary Canadian current account before the applicant has completed the required in-person step.
Record the applicant, immigration document, expected arrival, contact details and application result. Keep each adult's case separate. A household member cannot assume that another person's approval opens joint access or supplies the records needed for payroll.
Preserve the product terms shown at application. Fees and features for the later account are disclosed when that account is opened. Compare those terms with another suitable account before moving all household banking, and leave a field blank where the bank has not confirmed it.
Manage the single pre-arrival wire transfer
The CIBC material permits one wire transfer into the temporary account. The payment must come from an account in the applicant's name and be sent in Canadian dollars. Other transactions are prohibited at that stage. Verify the destination instructions through the bank's official channel and never split funds across guessed or copied details.
Record the source amount, exchange rate, sending charge, incoming charge, any other deduction and Canadian-dollar amount credited. Compare transfer services by the amount delivered, not an advertised rate. Keep source-of-funds records and the originating account statement with the payment record.
Make the transfer only after the application has been approved and the bank has supplied the proper instructions. If the beneficiary or reference changes, stop and verify it independently. A successful outgoing payment does not prove that the temporary account credited the intended amount.
Keep the originating bank account available
The temporary account must be completed at a CIBC Banking Centre within the stated twelve-month period. If the later account is not opened, the temporary account closes and its funds are returned by wire to the originating bank account, with transfer and exchange charges potentially applying. Keep that source account open and able to receive the return.
Never schedule rent, school or another fixed payment from money that remains restricted in the pre-arrival account. Keep a separate lawful payment method for arrival. Record the branch visit and identity records needed to complete the banking relationship.
After completion, confirm the new product, fees, account holder name and available balance. Match the transfer from the temporary account to the new account before recording the funds as accessible household cash.
Coordinate the account with SIN and payroll timing
Ask payroll which account details and SIN information it requires and the cut-off for the first pay. Keep the bank, SIN and payroll steps as separate checks. An account number does not prove that the SIN is issued, and a SIN application does not prove that salary can be credited.
Service Canada gives different approximate periods for complete online and postal SIN applications. Use the route chosen by the employee and record the later contact point if no response arrives. Never email the SIN through ordinary project correspondence or store it beside client records.
Put the payroll cut-off, expected salary date, branch completion, tenancy payment and school invoice on one calendar. Maintain enough accessible money outside the new account for the gap. A future salary credit cannot meet a deposit due earlier.
Test the completed account before relying on it
After branch completion, test login, recovery, a small incoming payment, an outgoing payment, card use and cash access. Check the account-holder name and payment reference. Resolve a block or identity mismatch before moving the remaining household balance.
Set transaction alerts on devices clear by the account holder and retain the bank's official lost-card and fraud contacts. Never give a one-time code to an unexpected caller or approve a payment because the caller knows employment or immigration details.
Decide whether another adult needs a separate account, additional card or formal organisation. Never share credentials. Confirm that an authorised household member can meet rent, school and medical payments when the employee is travelling or working at a project site.
Verify payees and recurring payments
Create landlord, school, insurer and household payees only after checking their details through an independent route. Store the invoice or agreement, account name, reference and person who verified the instruction. A forwarded email chain is not independent records of a changed beneficiary.
Use a clear small payment where the recipient supports that method, then confirm receipt before sending a larger balance. Record the bank's processing result and the recipient's acknowledgement separately. Successful processing does not prove that an unknown or substituted payee was genuine.
List direct debits, subscriptions and standing instructions with their amount basis, date and cancellation route. Remove them only after the last service and statement are reconciled. Keep refundable deposits and later employer credits outside available cash until received.
Record the true cost of currency conversion
For every overseas transfer, capture the source currency, Canadian dollars received, quoted rate, bank charge, correspondent deduction and value date. Use the delivered result for the household ledger. Never present a planning rate as a prediction or combine several charges into an unexplained exchange loss.
Keep overseas mortgage, debt and family support in their original currencies until the actual conversion is known. Test a weaker-rate case for a committed payment. Preserve the rate source and time because a later quote may differ.
Separate regulated transfer routes from card spending and cash withdrawal. Check limits, fees and access for the actual product. The calculator can compare entered amounts; it cannot certify a provider, predict a rate or determine the suitability of a financial product.
Reconcile statements and close obsolete access
Read the first statements line by line against salary, rent, deposits, school, transport and setup records. Investigate duplicate, reversed or unfamiliar items through the bank's official route. Retain the reference and response for anything unresolved.
Review address, telephone, tax-residency information, recovery details and device access after a move or employment change. Store statements in a restricted household folder. Send only the minimum itemised records needed for an employer expense claim rather than a full bank statement.
At departure, list final salary, refunds, claims and service credits expected after travel. Keep the account only where its terms permit the new address and those items justify it. Close cards, payees and mandates after reconciliation, then retain the statements and receipts needed for any later tax, tenancy or payment issue.
Maintain a clear Canadian payment and records ledger
Record every relocation payment with date, currency, purpose, payer, beneficiary, receipt and employer-reimbursement status. Keep rent, school, immigration, travel, health and ordinary living separate. A cash withdrawal or transfer proves movement from an account, not the recipient's entitlement or the final use of the money.
Reconcile the Canadian and overseas statements weekly until the first complete payroll cycle, then monthly. Match every salary and approved relocation credit to the payslip or claim. Investigate duplicate or unexplained entries through the bank or employer's official channel and preserve the reference.
Keep a beneficiary register for the landlord or agent, school and major providers. Verify a change using contact details obtained independently from the unexpected message. Make a small test where practical. Never release a large payment because a familiar name appears on an email or because a deadline is presented as urgent.
Protect the Social Insurance Number and tax-residency information. Supply the SIN only through a lawful payroll or government process and never place it in the household spending file. A bank account and SIN are separate checks; completion of one does not prove the other is correct or usable.
At each monthly review, check address, mobile, email, cards, payees, mandates, transfer limits, fees and secure recovery. Test that another authorised adult can reach household payment records without sharing the employee's password. Remove temporary relocation access once its purpose ends.
Update the cash-runway calculator only from verified accessible balances. Exclude card limits, anticipated bonus, unapproved expense claims and transfers that the receiving account has not credited. Keep the reserve selected by the household as a separate labelled assumption rather than lowering it to obtain a preferred result.
Before any later move or departure, list every expected salary, rent, school, health and service credit. Keep the Canadian account only where its current terms and those identified receipts justify it. Download statements and test the destination account before closing cards, mandates or the receiving route.
Prove the first usable Canadian-dollar balance
After account completion, record the first available balance, card activation and successful Canadian transfer. Compare the credited amount with the sending account's debit and conversion records. An application reference or pending transfer cannot fund rent or school until the account permits the money to be used. Give payroll only verified details through its secure route and preserve the first salary reconciliation.
