Start the Riyadh departure register before fixing flights
List employment end, final work, immigration action, family status, tenancy, school, services, insurance, bank and travel. Give each item a responsible party, required records, earliest action and dependency. Never book an inflexible departure date until the employer has confirmed the current sequence for the actual residence and contract case. A final-exit service entry is not proof that every prerequisite is satisfied.
Keep employee and dependant rows separate. Record passports, identity status and who will initiate each action. The Saudi National Platform describes an Absher route for issuing exit or final-exit visas for listed beneficiaries, but the household must use the current service and case records. Preserve application, issue and travel confirmation as distinct records.
Reconcile employment money before access disappears
Obtain the employer's itemised statement for salary, approved expenses, unused leave, allowances, deductions and any end payment. Compare it with the active Qiwa contract, payslips, attendance or approved records and bank credits. Never calculate a final entitlement from this guide. Where the amount or basis is disputed, obtain suitable Saudi advice and preserve every document.
Record the expected payment date and receiving account. Keep the Saudi account and authentication route working until the money arrives and can be reconciled. A final payslip is not proof of payment, and a single bank total is not proof each component is correct. Raise differences in writing before employer email or internal-system access ends.
End the tenancy through the documented route
Read the signed tenancy and current Riyadh renewal provisions before serving or responding to notice. Record the written end, any Ejar action, landlord acknowledgement and agreed inspection. Never assume employment termination or final exit automatically ends rent. If dates conflict, obtain appropriate advice before taking an irreversible step or withholding a written payment.
Repeat the condition record at handback. Photograph the property, record meters, list keys and access cards and obtain an acknowledged handover. Track deposit, damage claim and final rent separately. Never mark housing closed at physical departure. The folder should show written end, possession return and money settlement as separate completed events.
Close services and retain proof of the final balance
List electricity, water, cooling where applicable, internet, mobile, building service, subscriptions and National Address updates. Ask each provider for its current closure or transfer route and required identity records. Record final readings, requests, bills, refunds and confirmations. Never cancel the Saudi mobile number while it is still needed for government or bank authentication.
Keep adequate money available for late bills without leaving open payment authorities. Download provider histories and cancel recurring instructions only after the final obligation is known. Verify every refund destination. A service that stops working is not necessarily a closed account, and a zero current balance may not include the final reading or termination charge.
Complete school, health and family records
Give the school notice under its current terms and obtain transfer, report and fee records needed at the destination. Reconcile tuition, transport, deposits and employer reimbursement. Keep each child's last attendance and withdrawal records. Never assume the employer will recover an overpayment or the school will refund a balance without the required notice and form.
Confirm the health-policy end date for every beneficiary and arrange destination cover. Collect lawful medical summaries, prescriptions and outstanding claim records with consent. Never describe cover as continuing until the insurer has confirmed it. Complete any clinically appropriate planned care and allow time for claim or record processing before access to Saudi identity channels changes.
Close banking only after every Saudi money stream is resolved
Track final salary, expenses, housing deposit, school refund, service refund, insurance claim and card reversal. Identify which account will receive each amount and the latest expected date. Download statements, settle cards or loans and cancel standing payments. Never close the receiving account merely to complete a checklist while valid money remains outstanding.
Ask the bank how residence-status change affects the account and what it requires for closure or conversion. Transfer the final balance through an official route and retain receipt and closure confirmation. Keep secure access to statements needed for tax, employment or dispute records. End the Saudi mobile only after banking authentication and every other dependent service is finished.
Archive the assignment without copying project material
Keep personal copies of the employment contract, payslips, final statement, identity and visa records, tenancy, service closure, school and insurance records, bank statements and major payment receipts. Record the source and date of each. Store the archive securely and test access after employer systems and the Saudi mobile route end.
Never copy client correspondence, claims files, programmes, cost reports or other confidential project material into the personal archive. Ask the employer what lawful employment records can be retained. The departure file should prove the employee's own contract, money, residence and household closure without taking information that belongs to the employer, client or project.
Set a final-records owner for each workstream
Assign employment to the employee and employer contact, housing to the named tenant, family records to the responsible parent and banking to the account holder. Record who must issue the final records and who checks it. Never allow one relocation contact to report every stream complete without the underlying documents.
Review the register twice weekly during the final month. Escalate dates that block travel, handback or payment. Keep a decision log where the sequence changes. This provides a factual chronology if a refund, final salary or service closure remains unresolved after the household leaves.
Protect identity and communications through the final day
List every service that relies on the Saudi mobile, Absher or residence identity. Complete required authentication and download records before cancelling access. Keep the device, number and recovery details clear. Never give a departing employee's one-time code to a colleague who promises to finish banking or government tasks later.
Update destination contact details with organisations that require them through official channels. Remove old delivery addresses after refunds and statements are secure. Preserve proof of the National Address or other change where available. The communication plan should end deliberately, not when a prepaid number unexpectedly expires.
Reconcile deposits and refunds one by one
Create a refund ledger for housing, school, utilities, insurance and card reversals. Record holder, amount, supporting document, claim date, expected route and receipt. Never net unrelated amounts or mark a refund paid from an email promise. Match each bank credit to its source and retain the confirmation.
Where the amount differs, request the itemised calculation. Preserve condition records, final bills or policy decisions that support the review. Keep an account open only under the bank's current requirements and for a stated purpose. Move unresolved items to a post-departure register with a lawful contact route and review date.
Complete a post-departure check
Within the first month after leaving, confirm final pay, account status, deposit outcomes, cancelled services and the stored immigration records. Check that no automatic rent, school or subscription payment continues. Never assume silence means closure. Use the official provider or employer channel and record the response.
Review archive security and access from the destination. Keep records for the period advised for the employee's legal, tax and financial circumstances. Delete unnecessary working copies when they are no longer needed. The final check should list any open item with owner, records and next date rather than calling the departure complete prematurely.
Record what the departure checklist does not prove
A checked departure item means its supporting confirmation is stored. It does not provide professional advice, calculate an end payment or prove that an unrelated refund has arrived. Keep immigration, employment, tenancy and money outcomes separate. One party's assurance cannot close a task owned by another service or account holder.
Run the checklist once before flights, again before physical handback and once after departure. Remove a check if records changes or a payment is reversed. Preserve open items with dates and lawful contact routes. The final record should allow the household to demonstrate what ended, what was paid and what remains due without relying on memory.
Retain the final chronology
Place employment end, visa issue, handback, final payment, account action and travel in date order. Link each event to its records and retain open refund dates.
The chronology should record facts without attempting a legal conclusion. It allows later questions to be answered after email, mobile or employer-system access has ended.
Confirm the archive opens after travel
After arrival at the destination, open the stored employment, visa and closure records from the approved backup and confirm that another authorised adult can reach the emergency documents.
