Employment route
Separate the right to enter, the right to work and the local identity record. Ask the employer which step they own, which step you attend in person and which original documents they need.

Document file
Build a record for passport, qualification records, marriage and birth certificates, police checks, employment contract, medical records and photographs. Store scans outside employer email and keep a list of original holders.
Education certificates and professional records can take time to attest for Saudi use. Claims, contracts and quantity surveying roles should keep degree, professional membership and prior-employment records ready because clients may request separate mobilisation checks.
Contract records
Compare job title, employer name, basic salary, allowances, probation, notice, place of work, working time, travel and end-of-service or termination treatment before resignation.
Saudi packages often split basic salary, housing allowance and transport allowance. Keep the basic figure visible because end-of-service, payroll records and later employer letters may use it differently from the total package.
Family route
Plan dependants as a separate workstream. Confirm sponsorship eligibility, insurance, school records, housing records and whether the employer pays or only supplies letters.
Family residence usually depends on the employee's Iqama, salary records, accommodation and relationship documents. Never promise a family arrival date until the employer has confirmed the current profession and salary route.
First month
Keep a cash runway for temporary accommodation, transport, mobile data, meals, deposits and urgent medical costs before the first salary lands.
Riyadh arrivals can face a gap between hotel living and stable housing. Keep a reserve for serviced apartment nights, taxis, food delivery, SIM setup, school visits and the first rent or compound deposit.
Riyadh working checks
Do verify the named employing company, retain application references, price housing before accepting and keep receipts. Never pay a personal account for a job, surrender originals without a receipt or assume dependants are automatic.
Never accept a recruiter explanation that hides the Saudi sponsor. insist that every change between offer, contract and Qiwa record is explained in writing before travel.

Match the Saudi employer, Qiwa establishment and project assignment
Record the legal Saudi employer named in the offer, the establishment expected to issue the work visa and the entity that will place the employee on the project. Ask the employer to explain any difference between the group brand, payroll entity, sponsor and client-facing organisation. Keep the responsible government-relations contact and the official application reference. Never pay or submit sensitive records to a personal intermediary merely because that person arranged the interview or claims to manage mobilisation.
Qiwa's permanent work-visa route is an employer service with establishment eligibility conditions. The employee should confirm which visa category the employer is using and retain the issued records, but should not attempt to infer the establishment's eligibility from a recruiter statement. A temporary work visa serves a different short-term route. Ask for the contract duration and intended residence sequence in writing so a temporary instrument is not mistaken for a permanent relocation position.
Review every Qiwa contract field before approval
Qiwa identifies contract fields covering general information, job title, term, start date, notice, trial period, working time, annual leave, basic salary, housing, transport and optional additional terms. Compare each field with the accepted offer before approval. Check the Saudi establishment details, work location, identity, education, speciality, IBAN, mobile number and email entered. A correct headline salary does not cure a wrong employer, title, start date or project location.
The employee contract-review service allows approval, rejection or a request for modification of a pending contract and states a ten-day response period. Never approve simply to keep mobilisation moving where the content differs. Save the pending version, the requested correction and the final authenticated record. If the contract later changes, preserve the new request and reason. The personal file should show what the employer proposed, what the employee accepted and what became active.
Prepare professional and identity records for Saudi use
Inventory passport, photographs, degree, professional membership, employment history, police or medical records requested for the actual route and any client mobilisation records. Record the issuing organisation, exact name, expiry and authentication status. Construction claims and quantity surveying roles can require records for both employment processing and a client credential check. Keep those purposes separate so a client request is not described as a government requirement without proof.
When an original is handed over, record recipient, reason and expected return. Compare Arabic and English spellings and dates across every issued record. Store lawful personal copies outside the employer mailbox but never copy client or project documents into the immigration file. An error repeated into the Iqama, bank, tenancy and insurance systems is harder to correct than an error found in the first contract or visa record.
Sequence Iqama, Saudi mobile, National Address and banking
Build a dependency chart rather than treating each setup task as independent. The selected bank example requires a valid resident ID and registrations in Absher and National Address. National Address registration itself uses national sign-on. Ask the employer which identity and mobile steps it owns and when the employee can act. Never promise a bank, tenancy or dependant completion date before the required residence record exists.
For each stage, record application, issued records, activation and practical test. An Iqama number quoted in an email is not the same as the employee controlling the identity account. A bank account number is not the same as a usable card and transfer route. Preserve the official transaction number for National Address and the printable proof when available. This record supports payroll and later address-dependent services.
Plan family residence after the employee file is stable
Treat spouse and child movement as a second project. Ask the employer or competent service for the current sponsor, profession, salary, relationship, accommodation and insurance records required in the case. Keep passports, marriage or birth records, photographs, school material and health information for each dependant. Never use another family's route as proof and never buy inflexible travel until the current application can proceed.
Check practical readiness as well as residence records. Confirm a usable home, insured-person activation, school position and travel cash. Saudi cooperative health-insurance guidance places duties on the employer for employees and resident dependants in the private sector, but the family must still verify the named beneficiaries and policy start. A family application and an insurer enrolment should remain separate rows with their own completion records.
Manage the pre-payroll cash and first project month
Ask for the payroll cut-off, first supported pay date, bank requirement and any salary advance or relocation payment. List hotel or serviced apartment, food, local travel, mobile service, document costs, housing viewings, rent advance and school visits by due date. Keep accessible money outside the new account until cards and transfers have worked. A monthly salary cannot fund a payment that falls before its first credit.
Record the actual reporting point, site access, working day and employer transport. Construction work may begin at an office and move quickly to an outlying project. Confirm which travel, accommodation or meals are business expenses and when reimbursement occurs. Keep business claims out of salary reconciliation. At the first payroll, match basic salary, allowances, approved expenses and deductions separately to the contract and bank credit.
Use the mobilisation checker as a document count
The calculator counts twelve mobilisation records. Mark a box only when the supporting contract, official reference or written confirmation is stored. A checked box does not predict an approval or date; an unchecked box is not proof of failure. Link each checked item to the next dependency and responsible person in the mobilisation chart. Keep cash adequacy outside the score because documents and funding answer different risks.
Repeat the check after any change to employer, assignment, start date, visa type or family timing. Remove a check if records expires or no longer matches the active case. Preserve the old result and reason for change. The final employment file should show a continuous route from accepted offer and Qiwa review to active work, residence, banking and first correct payroll without relying on a series of disconnected messages.
Check the active role after project mobilisation
During the first working week, compare the Qiwa job title, employer, workplace and start date with the induction and actual assignment. Record the line manager, project, reporting location, working time and any site-access condition. Never allow an unexplained client title or group-company description to replace the authenticated employment record in the employee's own file.
If duties, location or terms differ, ask the employer which document governs and whether a Qiwa modification will be issued. Use the employee review route for a pending amended contract and preserve the response. A changed project is not automatically a changed employer, but the employee should not infer the official position where the records conflict.
Maintain a renewal and expiry calendar
Record passport, contract, identity, insurance and family-document expiry dates with the employer action lead time. Add tenancy, school and travel commitments that depend on continued status. Review the calendar monthly and after any project extension. Never make a non-refundable household commitment beyond a known employment or residence date without understanding the downside case.
Keep each renewal submission, issued record and corrected expiry date. Check that the refreshed identity flows into insurance, banking and address-dependent systems where required. An employer assurance that renewal is under way should stay marked as pending until the employee can see the current official records.
Keep the employee document checklist current
Number the accepted offer, Qiwa versions, visa and identity records, bank instruction, payslips and employer letters. Record issue date, expiry and where the original is held. Keep only personal employment records in this index. Never add client claims, programmes, valuations or project correspondence merely because they demonstrate the work performed.
Review the index after first payroll and every formal change. Replace neither old nor disputed records; mark their status and link the successor. Another authorised household adult should be able to locate identity and payment records in an emergency without receiving general access to employer systems. The folder should prove the employment route while respecting project confidentiality.
