Close employment in writing

Obtain the service certificate or reference needed for the next role. Return devices, access cards, vehicles and documents against a signed receipt. Keep personal employment records, but never copy confidential employer, client or project material.

Coordinate residence and family records

The sponsor checks parts of the cancellation process.

Ask the employer for the current residence-cancellation sequence, submission date and records of completion. Check dependent residence records before the sponsoring employee's position is closed. Confirm how any change of employer or departure affects the household and planned travel.

Use the current Ministry of Interior service or an authorised service centre for the final process. Never rely on old exit-permit or cancellation articles found online, because immigration procedures change.

Close the tenancy and utilities

Photographs and final statements support the deposit claim.

Follow the tenancy notice and handover terms. Agree the inspection, inventory, keys, access cards, meter readings and defect record. Obtain a signed handover statement and a written deposit reconciliation.

Kahramaa's published guidance requires final readings and settlement before the account is closed and the clearance certificate is issued. Close internet, cooling and other services separately. Keep every final bill and reference number until refunds arrive.

Keep banking open long enough

Final salary and refunds may arrive after departure preparations begin.

List expected final salary, gratuity, expenses, tenancy deposit, Kahramaa deposit, insurance or card refunds and any school credit. Never close the only usable account until each item has cleared or another documented payment route is agreed.

Download statements, payment confirmations and account-closure terms. Update contact details and tax residency where required. Cancel cards, standing orders or credit only through the bank's official process.

Create a departure archive

Keep what proves payment, service and lawful close-out.

Retain the offer, contract, amendments, salary records, final settlement, service certificate, visa and QID copies, cancellation records, tenancy, utility clearance, bank statements, school records and insurance history. Store them securely outside Qatar-based phone numbers and employer systems.

For professional work, keep only material you are entitled to retain. A personal project log can record your role, dates and public project facts without taking confidential correspondence, programmes, cost reports or claim material.

Doha departure records to close

Close money and records in the right order.

Required actions: Reconcile final pay in writing. Coordinate dependants before sponsor cancellation. Photograph final readings and condition. Wait for refunds before closing banking. Keep a secure departure archive.

Avoid these errors: Never rely on an old immigration article. Never copy confidential project records. Never surrender property without a receipt. Never leave utilities in your name. Never close the only payment route too early.

Separate employment close-out from residence action

Record notice period, final attendance, payroll close, service certificate, settlement and sponsor-led residence steps as separate actions. Ask who submits each official action, which documents are required and which completion record will be issued. Never treat a verbal last day as proof that employment and residence records have been completed. Preserve lawful personal copies before employer-system access ends.

Map each dependant's residence and travel position against the principal employee file. Record the source and date for every required action. Old assumptions about exit permits or prior immigration procedures must not be copied into the plan; the earlier Doha review rejected departure material that could not be reconciled with the current position. Where the official or written route is unclear, leave it unresolved and obtain current advice rather than inventing a sequence.

Reconcile final salary, expenses and gratuity

Prepare a line-by-line employee statement containing salary to the final date, approved expenses, reimbursements, leave treatment, benefits and deductions. Match each line to the contract, payslip, approval or other supporting record and then to the credit received. Keep a blank where the source does not establish an amount. Never insert an estimate into a settlement as if it were agreed.

The records ledger records the Labour Law Article 54 basis checked on 15 August 2026: after one year, gratuity is no less than three weeks' remuneration for each year, proportionate for fractions, and calculated from the last basic wage. Apply the current law and actual service record to the case rather than using the calculator's default. The page's departure tool accepts only the user's confirmed benefit amount and does not calculate final entitlement.

Return employer property and preserve only lawful personal records

List laptop, telephone, access cards, keys, vehicle, protective equipment, documents and any other assigned item. Return them against an itemised receipt that states date and condition. Close project and employer-system access through the required process. Never copy confidential employer, client or project information into the personal departure archive. The folder should contain only personal employment, residence, payroll and approved expense records the employee is entitled to retain.

Ask for the service certificate and any separate confirmation of property return or account clearance relevant to the employment process. Preserve the signed receipt outside the employer mailbox. If a deduction is proposed for an item, record the item, amount and stated basis and seek proper advice where disputed. An informal handover to a colleague can later be mistaken for a missing asset, so the records must identify the authorised recipient.

Close tenancy and Kahramaa from the opening records

Read the tenancy notice and handback provisions before booking travel. Give notice through the required route and retain delivery proof. Repeat the move-in condition photographs, inventory and meter readings. Record repairs, keys, cards, parking and any furniture. Obtain a signed handover acknowledgement naming the property and date. Never assume that returning keys ends rent, utilities or deposit questions.

Follow Kahramaa's current move or closure route and keep the final service record, bill and deposit status. The opening records records QAR 1,200 electricity and QAR 800 water deposits for the residential case; the actual account checks the refund. Keep banking and contact access until valid refunds are received or another lawful method is documented. Track tenancy and utility deposits separately because different parties and records govern them.

Close school, health, banking and subscriptions

Give school notice, reconcile fees and obtain reports, transfer records and any compulsory-education records required for the next move. Ask when portal access ends. Obtain material clinical records, prescriptions and insurance claim outcomes through the proper route. Record when each person's health cover ends and arrange lawful replacement where a gap would arise. Never assume employment, residence and insurance end on the same date.

List direct debits, card subscriptions, loans, rent payments, salary, refunds and reimbursements before closing banking. Ask the bank how residence and salary changes affect the account. Move or cancel services through their own contracts; stopping a card does not cancel the supplier agreement. Download statements and obtain account closure confirmation. Keep recovery access independent of the local number until every final credit and valid charge is reconciled.

Use one final receivables and records register

Create one row for every employment, residence, dependant, housing, utility, school, health, bank, telephone, shipment and property-return item. Record responsible person, document, money due, money payable, target date and completion records. A colour or status label is useful only when paired with the reference. Never mark an item complete merely because the household has left Qatar.

Run the departure calculator with confirmed receipts and costs only. Keep disputed gratuity, uncertain deposit and unapproved reimbursement outside the confirmed total and describe them in the register. After travel, review the file until every valid refund and final document has arrived. Preserve it in a secure location that does not depend on an employer account, local telephone number or one family member's device.

Sequence travel and shipment after legal and written dates

Set flights, temporary accommodation and shipment dates only after recording the employment, residence, tenancy and school constraints that govern them. Keep changeable travel where a government or employer step remains uncertain. Identify which family member travels first and who retains organisation to complete any lawful local action.

Inventory shipped, sold, donated and hand-carried items. Keep passports, clinical records, employment records and irreplaceable documents with the family rather than general shipment. Obtain quotes that state volume, insurance, collection, delivery and excluded charges, then enter only the accepted amount in the departure cost case.

review the departure file after travel

Within the first week after travel, test access to statements, settlement records, residence records, school files, health claims and utility closure. Confirm that local telephone loss has not blocked recovery. List every document or payment still expected and send the required follow-up through its proper route.

Review the register monthly until no valid receivable, charge or record remains. Keep dispute and advice material separate from ordinary completed items. The final archive should show what closed in Qatar, what concluded after travel and the records for each result. Departure is complete only when the record and money are reconciled, not when the flight lands.

Reconcile family cash needs for the first month after Qatar

Prepare a post-travel cash calendar covering accommodation, transport, school, health, shipment delivery and the period before the next income. Keep it separate from expected Qatar refunds and final benefits. A receivable may be valid but unavailable on the due date, so the family must not spend it twice.

Protect accessible money for disputed or delayed close-out items and state the exchange treatment actually received when funds move. Update the departure calculator only after each final credit or cost is confirmed. Retain the original scenario to show whether a shortfall arose from timing, a changed amount or an omitted obligation.

Preserve a dated correction record for unresolved departure items

If an issued document, final bill or payment differs from the supporting record, log the exact difference, organisation, case reference, documents supplied and next deadline. Never overwrite the earlier figure or mark the item complete while review continues. Keep legal, immigration, utility and banking questions in their own channels so one organisation is not treated as organisation for another.

When the matter closes, record the outcome and attach the confirmation. Leave an honest unresolved status where no final response has arrived. This correction record prevents the family from relying on an outdated settlement, account balance or residence assumption months after travel and gives any adviser a traceable starting point.
